Advanced Field Settings (Defining EAR and Cross-Publication EAR Reports)

The gear icon displayed at the right of each field row provides access to additional options for field configuration.

Click the link to open a pop-up overlay.

If advanced field settings have been made, the gear icon displays with a green check mark on it.

Settings on the overlay include:

  1. Hide this field: Check this box to hide the field from the report when it is run. Example use: Results may be sorted by a field, but the field is not required for report results.
  2. Sort (z-a): By default the system sorts values in alphabetical order (a-z). Check this box to reverse the order.
  3. Italic: Check this box to display results in the associated column in italics.
  4. Bold: Check this box to display results in the associated column in bold face.
  5. Width: Enter a number in the text box to designate a fixed column width in pixels. (Equivalents: 96 pixels = 1 in or 2.54 cm.) Note: If the designated width is narrower than the length of the column label, the column label size will take precedence.
  6. Label Justification: Click this box to set alignment of the column header text. Repeat clicking the box rotates through the options: R (right), M (middle), L (left).
  7. Value Justification: Click this box to set alignment of the column value text. Repeat clicking the box rotates through the options: R (right), M (middle), L (left). Default setting (none) left aligns text fields and right aligns number fields.
  8. Subreport: Use the drop-down menu to select a drill-down report. See the explanation below. See Define a Subreport.
  9. Drill-Down Style: Use in conjunction with the subreport setting (above).
  10. Url: Follow the example to enter a URL. The field value will be included in the URL to open the corresponding web page when a user clicks the hyperlink in the report results.
  11. Subtotal Function: Used in conjunction with the Add Subtotals checkbox on the main Fields tab page. Options: (Default), (None), Count, Count Distinct, Maximum, Minimum.
  12. Gradient Cells Shading: Applies color shading based on field value. Style tab settings for item color and alternating item color serve as the start and end colors of the gradient. This setting is ignored when cell highlight (below) is used.
  13. Text Highlight: Applies color to text based on field value. Enter highlight definition in text box. Example: Reject:Red;Revise:Orange;Accept:Green (value and color pair separated by colon, pairs separated by semicolon, ranges stated with “to” such as “1 to 100”).
  14. Cell Highlight: Applies color to cell based on field value. Enter highlight definition in text box. See example in text highlight (above). Color may be applied to an empty cell by not defining a value for the color (i.e., colon followed by color with no value preceding the color). Colors defined here override item color and alternating item color defined on Style tab.
  15. Value Ranges: Substitutes text for defined value ranges. Example: 0 to 30:Below target;31 to 60:On target;61 to 100:Above target. This setting can be combined with other highlight settings; text highlight and cell highlight must be defined with the original field values, not with the substitute text.
