Automatic Metadata Extraction

When an Author submits a manuscript, the system will attempt to extract submission and author metadata automatically from the first uploaded file. Automatic metadata extraction is designed to save the user time, and to make the submission process more efficient for the Author.

By the time the Author moves through the submission steps and reaches the Manuscript Data page, the system should have pre-populated key fields on that page with extracted data. Fields that can be populated with extracted metadata are:

If the system has not completed the extraction process when the Author reaches the Manuscript Data page, a message appears indicating that extraction is in process. A user may choose to wait or to enter data manually. Extracted data must be confirmed by the user.

The first uploaded file, also called the Primary Manuscript File, should be formatted in a way that ensures the highest possible results from the extraction process. Editorial offices may want to provide Authors with guidance on how best to format a Primary Manuscript File for submission to their publications. The system performs automatic metadata extraction on Primary Manuscript Files saved as .doc, .docx, and PDF. Publications can choose to exclude PDF files from automatic metadata extraction. The option is useful if a publication wants to minimize the amount of information collected for new submissions. The option to exclude PDFs is configured by Article Type and is set separately for new and revised submissions.

Publications can also opt not to extract Co-Author metadata from the primary manuscript file (for new submissions and/or for revisions). This option is useful if a publication wants to simplify the initial submission process for Authors. This option may also be useful for publications with a high percentage of "desk rejects." This option to disable extraction of Co-Author metadata is configured by Article Type and is set separately for new and revised submissions.
