A Notify Editor link may be displayed in three folders: View All Submissions, Group by Editor with Current Responsibility, and Group by Manuscript Status. (The link will also display in search results for submissions currently in one of these folders.) Any Editor with access to these folders may use the link.
The link may be used to send email notifications to the Editor with current responsibility for a submission.
Example:
The Editor-in-Chief has assigned an Associate Editor, who has then invited Reviewers. The selected Reviewers decline the invitation to review, so the editorial office staff member uses the Notify Editor email feature to inform the Associate Editor that more Reviewers need to be invited. This notification cannot be sent to the Editor-in-Chief, as the EIC is not the Editor with current, direct responsibility for the submission.
For details on using the link, see Editor Notification (Notify Editor Link).
Publications may opt not to display the Notify Editor link. The Ad Hoc Email feature may be used as an alternative. For details, see Configure Ad Hoc Letters.
Note: This feature is different than the Ad Hoc Email feature, which can be used for a similar purpose. The Ad Hoc Email feature provides a more flexible option for sending email communications.
The Notify Editor link is displayed in the interface by default.
To hide the link, go to PolicyManager > Email and Letter Policies > Set Notify Editor Preference. Uncheck the box next to the setting, Display Notify Editor Link, and click Submit.
Go to PolicyManager > Email and Letter Policies > Edit Letters, and click the Add New Letter button. For details on letter configuration, see Create Letters.
A publication can create as many letters as needed for different situations. Some examples: remind an Editor to accept or decline an Editor Invitation, remind an Editor to choose more Reviewers, remind an Editor that a submission requires a Decision, etc., and/or a generic letter that can be customized by the editorial staff member when it is sent.
