People-Sharing (IJRS) groups that share user information must determine policies regarding the merging and inactivating of user accounts. Either this user account management occurs at the single publication level or it propagates across all publications in the group. Each publication must select the same configuration for these features if they are to work across the group.
When all publications enable the permission to propagate merged (or inactivated) user record information across the IJRS group, the system updates records for all member sites when a change is made on one publication.
When all publications do not enable the permission to propagate merged (or inactivated) records across the group, merging and/or inactivation of user records takes place at the publication level only. The changes do not propagate to the other publications in the group. (An IJRS group that selects this option can expect that people data may vary among publications.)
Note: If the settings are inconsistent (i.e., some publications have enabled a permission and others have not), then the merge (or inactivate) feature is disabled on all publication sites. If this happens, check with the other group members and make sure all members set the permissions with the same option.
When the inactivation and/or merging of user records is configured to update across all member sites, a letter should be configured to go to all member publications in the group to notify them when a change to a user record occurs.
Go to AdminManager > Share People > Set Inactivation and Merging Policies. All publications in the group must have identically configured settings on this page. Two separate permissions appear on the page, allowing all publications in the group to:
To enable a permission, select the Yes radio button. When finished, click Submit.
For each action (inactivate user, merge user records), the publication may have an existing letter used for single-publication notification of these events. If necessary, create new letters. For more information, see Configure Merge People Records and Inactivate People Record.
After letters are created, configure them to be sent to other group members. Go to AdminManager > Share People > Configure Group Notifications.
When finished, click Submit.
