Configure Tasks for Use with Publication Charges Processing
Publications using both the Publication Charges Processing feature and production or editorial task functionality (ProduXion Manager or Task Manager) can trigger the Payment Due phase via a task, assigned either manually or automatically. Payment Due events can be triggered multiple times throughout the workflow of the submission.
If the Payment Due event is re-triggered after a "Complete – Successful" or "Complete – Unsuccessful" payment status has been achieved, the Publication Charges status returns to "In Process."
A task can also be configured to trigger metadata updates to the payment system without updating the payment status.
To Configure:
Payment due event
To define a task as the triggering event, go to PolicyManager > Submission Policies > Configure Publication Charges Processing
- In the Select an Editorial Event to Trigger the Publication Charges Due Event section, select the radio button next to the option, None (Publication Charges Due must be triggered by assigning a Task).
- When finished, click Submit.

To configure an editorial or production task to trigger the Payment Due event, go to PolicyManager > ProduXion Manager > Configure Submission Workflows and Production Tasks.
- Click the Edit link next to the applicable workflow to open the Configure Submission Workflow page.
- Click the Edit link next to the applicable task (or create a new task) to open the Add/Edit Submission Production Task page,
- Go the the Assignment Options section and check the box to enable the setting, Trigger Publication Charges Payment Due. (Settings described here appear only when the Publication Charges feature is enabled.)
- Use the radio button to select a letter option.
- Trigger all ActionManager Publication Charges Payment Requested letters.
- Send following letter to the Corresponding Author only [select a letter from the drop-down list].
- Additional related settings may be configured. Check one or both of these boxes if the letter should not be sent under these conditions:
- Do not trigger if APC Status is already “In Process” or “Complete”: Prevents the task assignment from sending a payment request to the Author.
- Do not trigger on repeated assignment of this Task: Prevents a new payment request from being sent to the Author if this task is assigned a second time. If there are any previous, not cancelled instances of this Task Type for the assignment (i.e., the task is open or has been completed/submitted) a Payment Due event is not triggered.
- Set other task configurations as needed.
- When finished, click Submit.

A Trigger Publication Charges column displays in the submission workflow grid. A check mark icon in this column signifies that assigning the respective task will trigger a payment request to the Author.
Metadata-only updates
To configure an editorial or production task to trigger metadata updates to the payment system, go to PolicyManager > ProduXion Manager > Configure Submission Workflows and Production Tasks.
- Click the Edit link next to the applicable workflow to open the Configure Submission Workflow page.
- Click the Edit link next to the applicable task (or create a new task) to open the Add/Edit Submission Production Task page,
- Go the the Assignment Options section and select one or both settings as applicable. (Settings described here appear only when the Publication Charges feature is enabled.)
- Trigger Update to Payment System: Check the box next to this setting to enable the task to trigger a metadata-only update.
- Do not trigger if the APC status is "Author Declined": This sub-setting prevents the system from sending metadata only when the APC status is "Author Declined."
- Set other task configurations as needed.
- WHen finished, click Submit.
