Repository Items
Author use
Publications may allow Authors to upload supplementary submission files, such as large data sets or videos, to a data repository during the submission process. This option appears on the Attach Files page.
To attach a URL/URI for a file you have already stored in a repository:
- Select Item Type: Use the drop-down menu to choose a repository item (names will vary). When a repository item is selected, the page will refresh to display repository deposit options.
- Description: Enter a description of the item in the text box. Do not use any personal identifiers in this field. (Depending on publication configuration, additional data fields may appear. Complete as required.)
- Use the radio button to select attach file option: Enter URL/URI/External Resource Location.
- Enter the external resource location (you may be required to click Preview to ensure that the URL is valid) and click the Attach This Information button.
To upload a file to a repository:
- Select Item Type: Use the drop-down menu to choose a repository item (names will vary). When a repository item is selected, the page will refresh to display repository deposit options.
- Description: Enter a description of the item in the text box. Do not use any personal identifiers in this field. (Depending on publication configuration, additional data fields may appear. Complete as required.)
- Use the racio button to select attach file option: Upload to repository.
- Select a repository from the drop-down list. Depending on repository configuration, one of two button options will be displayed:
- Upload to Repository: Files upload via Editorial Manager.
- Create Deposit and Go to Upload Page: Files upload directly to the repository.
Follow the steps below for the applicable upload type.
Go to Upload Page:
- Click the Go to Upload Page button to access the Upload Files pop-up window.
- Enter a Deposit Description for the item.
- Complete additional fields. (Fields displayed depend on publication configuration.)
- Attach the file: Use the Browse button to access your file list or use the Drag & Drop option. (Repeat steps 1 – 5 to include additional files in the repository deposit.)
- When finished, click the Close button.
Create Deposit and Go to Upload Page:
- Click the Create Deposit and Go to Upload Page button. The system will display an alert pop-up window saying that you will be redirected to the repository if you proceed.
- Click the Proceed button to access a pop-up window, which will display the repository's user interface.
- Follow instructions in the pop-up window to complete the upload.
- When finished, close the pop-up window.
To access or edit a deposit:
Once a deposit has been created, the repository item is listed in the Attached Files list. Action links enable the user to manage the item. Repository-specific links that may appear:
- Access Item: Click this link to go to the URL returned by the repository or to the URL/URI entered by the Author. (This same URL is the target for the External Item link displayed in the File Name column.)
- Add Files/Edit Metadata: Click this link to open the Add Files/Edit Metadata for Deposit pop-up window. Users may add new files to the deposit or update the custom repository metadata fields for the deposit.
- Edit Item: Click this link to go to the URL returned by the repository to edit the deposit within the repository system.
Editor and Publisher role use
Editors submitting manuscripts will see the same options for adding a repository item as described for Authors. Follow the steps above as appropriate.
Editors performing actions on an Author’s behalf in proxy mode will be limited to the URL/URI option for adding a repository item. Editors in proxy mode are not allowed to add or edit metadata for an existing repository item.
Users with Editor or Publisher roles with permission may add a repository item when editing a submission. Adding a repository item is limited to the URL/URI option (follow steps described above). These users cannot use the upload option.
Editor and Publisher roles with permission to download source files may access repository items via the File Inventory page. An Access Item link appears in the Action column. An External Item link appears in the File Name column. Both links direct the user to the URL returned from the data repository for the item.
