Editor Reports

The Editor Reports section allows the editorial office to manage Editor assignments and reminders.

Assignment Status Report

The Assignment Status Report displays all submissions in the review cycle, between the time an Editor is assigned and the Author is notified of the decision. The report can be run for all Editors or a specific Editor. Results display in a table with a Send Reminder column, enabling the user to send reminder letters from the report page.

  1. Click the link to open the report page.
  2. Handling Editor: Use the drop-down menu to select All Editors, an Editor role, or an individual Editor.
  3. Optional: Narrow results by Article Type and/or Section/Category. One or both may be selected.
    1. Article Type: Use the multi-selector tool to select one or more Article Types.
    2. Section/Category: Use the multi-selector tool to select one or more Sections/Categories.
  4. Optional: Create extraction file for download: Check this box to access a download file. A Download link will appear on the results page.
  5. Click Submit.

New Assignments Report

The New Assignments Report displays a list of assigned manuscripts for which the Editor has not selected Reviewers or assigned the manuscript to another Editor. The report can be run for Assigned Editors or Invited Editors and further limited to specific Editors. Results display in a table with a Send Reminder column, enabling the user to send reminder letters from the report page.

  1. Click the link to open the report page.
  2. Choose submission type to view: Use the drop-down menu to select Outstanding Editor Assignments OR Outstanding Editor Invitations.
  3. Check the box next to the name of one or more Editors to include in the report.
  4. Optional: Limit results to submissions with more than a defined number of days elapsed since the Editor was invited or assigned: Check the box to include this limiter and enter the number of days.
  5. Optional: Narrow results by Article Type and/or Section/Category. One or both may be selected.
    1. Article Type: Use the multi-selector tool to select one or more Article Types.
    2. Section/Category: Use the multi-selector tool to select one or more Sections/Categories.
  6. Click Submit.

Required Reviews Complete Report

The Required Reviews Complete Report lists submissions for which required reviews are completed and subordinate decisions made that require a decision from the assigned Editor. The report can be run for all Editors or a specified set of Editors. Results display in a table with a Send Reminder column, enabling the user to send reminder letters from the report page.

  1. Click the link to open the report page.
  2. Check the box next to the name of one or more Editors to include in the report.
  3. Optional: Limit results to submissions for which reviews have been complete for more than a defined number of days: Check the box to include this limiter and enter the number of days.
  4. Optional: Narrow results by Article Type and/or Section/Category. One or both may be selected.
    1. Article Type: Use the multi-selector tool to select one or more Article Types.
    2. Section/Category: Use the multi-selector tool to select one or more Sections/Categories.
  5. Click Submit.

Editor Required Reviews Status Report

The Editor Required Reviews Status Report provides information on the status of reviewer invitations and required reviews for assigned submissions. Results display in a table with a Send Reminder column, enabling the user to send reminder letters from the report page to Handling Editors who may need to invite or assign additional Reviewers to obtain the required number of reviews.

  1. Click the link to open the report page.
  2. Editor Roles: Use the multi-selector tool to select one or more roles.
  3. Optional: Narrow results by Article Type, Document Status, and/or Submission Flags.
    1. Article Type: Use the multi-selector tool to select one or more Article Types.
    2. Document Status: Use the multi-selector tool to select one or more document status terms.
    3. Submission Flags: Use the multi-selector tool to select one or more flags and choose the applicable radio button:
      • Contains
      • Does not Contain
  4. Define parameters for days since last invitation, number of reviews, or number of reviewers. For each, use the drop-down list to choose a selector term (e.g., equal to, greater than) and enter a number in the text box.
    1. Days since last Reviewer invitation
    2. Number of required Reviewers remaining
    3. Number of invited Reviewers
    4. Number of reviews in progress
    5. Number of reviews completed
  5. Click Submit.

Automated Editor Required Reviews Reminder Report

The Automated Editor Required Reviews Reminder Report allows users to set up a report that runs nightly to automatically send reminders to Handling Editors based on the pre-configured criteria. This report can be used to send out reminders for submissions under review that require the Handling Editor’s attention: submissions for which no Reviewers have been assigned (or have agreed to an invitation), submissions with insufficient assigned/agreed Reviewers, submissions with required reviews complete for which the Editor has taken no further action, or submissions with a decision-in-progress for which the Editor has taken no further action.

  1. Click the link to open the report page.
  2. Reminder type: Use the radio button to select reminder type.
    • Handling Editor Assigned/Agreed, No Reviewers Assigned: Enter number of days in the text box.
    • Handling Editor Assigned/Agreed, Insufficient Reviewers Assigned: Enter number of days in the text box.
    • Handling Editor Assigned/Agreed, Required Reviews Complete: Enter number of days in the text box.
    • Handling Editor Assigned/Agreed, Decision In Progress: Enter number of days in the text box.
  3. Editor role: Select an Editor role from the drop-down list or run for all Editors.
  4. Reminder name: Enter a name for the report.
  5. Reminder letter: Select a letter template from the drop-down list.
  6. Optional: Narrow results by Article Type and/or Submission Flags. One or both may be selected.
    1. Article Type: Use the multi-selector tool to select one or more Article Types
    2. Submission Flags: Use the multi-selector tool to select one or more Submission Flags.
  7. Click Save as Automated Reminder.

Saved reminder reports appear in a table at the bottom of the page. Saved reports may be edited or deleted by the user who created them.
