Global Identifiers for Transferred Submissions

Submissions transferred from EM sites are assigned a global manuscript identifier (Global MS ID), which allows a submission to be tracked as it moves from one publication to another. The system-generated Global MS ID is associated with the manuscript on initial submission and is included in the transferred metadata.

The identifier travels with the submission in EM-to-EM-site transfers as well as in transfers from EM to non-EM sites. It remains constant regardless of any other identifier applied to the submission at each publication. 

For example:

  1. Original submission to Journal A receives a Manuscript ID (MS ID) for the publication and a Global MS ID:
    • MS ID: 213
    • Global MS ID: EM_JA_213
  2. Submission is transferred to Journal B, where it receives a MS ID for this publication. The MS ID for Journal A is recorded as the Source ID. The Global MS ID remains the same.
    • Source ID: 213
    • Global MS ID: EM_JA_213
    • MS ID: 76
  3. Submission is transferred again to Journal C, where it receives a MS ID for this publication. The MS ID for Journal B is recorded as the Source ID. The Global MS ID remains the same.
    • Source ID: 76
    • Global MS ID: EM_JA_213
    • MS ID: 247

No configuration is required to enable the Global MS ID field; however, PolicyManager and RoleManager are required to make the field accessible to users.

Go to PolicyManager > Define Details Page Layout. Select the applicable layout and click the Edit link next to it. On the Add/Edit Details Page Layout page, click the link to the Select Items to Display page. On this page, go to General Manuscript Information and check the box next to Global MS ID. When finished, click Submit.

Go to RoleManager > Editor Role. Grant permission to applicable Editor roles: 

To include the Global MS ID in letters related to the submission, use the merge field %GLOBAL_MS_ID%. For details on letter configuration, see Create Letters.
