Include External Correspondence in Submission Correspondence History

Some communications between Editors and others might occur outside the EM system, and EM allows these communications to be saved in the system for easy reference. Editors may be given permission to manually add external correspondence, such as external emails or notations of received telephone calls, to the History of a submission, where the items can be viewed alongside system-generated internal correspondence. External correspondence may be added to the correspondence history of submissions, proposals, and schedule groups.

Depending on the user's permissions, one or two buttons will appear in the Correspondence History section of the page:

  1. Add Editorial Correspondence
  2. Add Production Correspondence

Editors with appropriate permission may also attach files if the Attachments feature is enabled for the publication.

The saved item is added to the correspondence history, inserted into the list chronologically. The item is identified as external correspondence with the notation, (External), next to the letter link. This correspondence is visible to all users with applicable permission.

To Configure:

To enable the Attachments feature, contact your Aries Account Coordinator.

Go to RoleManager > Editor Role. Grant permissions to the applicable Editor roles:

  1. Add/Edit External Correspondence: Enables access to the Add Editorial Correspondence button.
    1. Add Attachments to External Correspondence: The Attachments feature must be enabled to make this permission available. See Allow Attachments to Emails.
  2. View Submission Production Correspondence History: Enables access to the Add Production Correspondence button/page.
