Initiate a Non-submission Fee
For authorized Editors/Publishers (with Edit Fees and Payments permission), a Charge Fee link appears on the Details page.
The Editor/Publisher can use the Charge Fee page to generate any non-submission fee (e.g., preprint charge, page charge). When the Charge Fee page opens, no payment information is populated in the fields. Instructions for page use from the publication appear at the top of the page.
Any fee templates configured by the publication appear in a drop-down menu. The Editor/Publisher may choose a template to populate form fields and edit as needed, or enter all information without selecting a template.
- Fee Description: Enter a description to inform the Author of the purpose of the fee.
- Currency: Select a currency code from the drop-down list. (This list of options is the set of currency codes supported by PayPal.)
- Fee Amount: Enter the amount to be charged to the Author. Do not enter a currency symbol.
- Allowable Payment Methods: Check the box next to the options to be accepted for this Fee.
- Payment Instructions: Enter any instructions for the Author related to paying this Fee. Instructions might offer an explanation of the Fee structure or other information the Author may need.
- Letter Fields: Use the drop-down menus to select letter to send. There are four assessment options with associated letters: Payment Due, Grant Waiver, Deny Waiver, Cancel Fee. Check the box if the Payment Due Letter to Author is also to serve as the payment invoice.
- Notes to Author: Information recorded here can be viewed on the Author version of the Fees and Payments page.
- Internal Notes: Information recorded here is for internal reference only and is not visible to the Author.
- When all fields are complete, click Proceed. If a Payment Due Letter to Author has been selected, then the Editor/Publisher can customize the letter, or opt to send the default letter on the next page.
Once completed, the fee is available for the Editor/Publisher to review via the Fees and Payments link on Details.
