Institution Name Normalization

The Institution Name Normalization feature ensures a more standardized record of user institutional affiliations, even when users may enter variations or abbreviations of institution names. This feature applies to the Institution and Secondary Institution fields throughout the system.

As the user begins to type the name of the institution (three letters minimum), an auto-complete tool examines the characters entered and shows suggested matches from an authoritative, standard list of institutions. When potential matches are returned, both the commonly used name and institution full name may be shown. Depending on which institutional dataset is in effect for the publication, the list of prospective matches may also include the institution's city and country. Portions of the names that match the entered text will appear in bold for easy reading.

A user clicks on the matching selection in the list to choose that institution name.

A user may enter a free-text name that is not included on the list suggested by the system. In this case, however, no institutional identifier is captured for the record.

For the primary Institution field only, if a user continues with a free-text name not included in the standard list, the system alerts the user that the name does not correspond to a normalized institution within the system. The user may correct the institution name by selecting a value from the list presented or else proceed with the manually entered institution name.

Note: Proceeding with a manually entered, non-normalized institution name may impact downstream services that look for a stored institutional identifier.

A tooltip information icon is displayed next to the Institution field. When a user's cursor hovers over this icon, customizable guidance text offers tips for obtaining accurate results in the auto-suggest institution list.

Institution names that have been selected from the list will appear on Details and Author Status pages with a light gray dotted underline to indicate that they have resolved to an identifier in the background. When a user's cursor hovers over a verified institution name, its Ringgold ID is displayed in tooltip text.

TO CONFIGURE:

Go to PolicyManager > General Policies > Enable Institution Name Normalization.

  1. Check the Enable Institution Name Normalization box.
  2. Use the radio button to select an option for tootip text: default or customized.
  3. If customized option is selected, enter text in the text box.
  4. Click Submit.
