Production Task Reports
Production task reminder reports can be used to follow up on outstanding tasks. Editor and Publisher roles with permission can run the reports and send reminder letters to task assignees appearing in the reports. Users with permission can also configure automated reminder reports to run and send letters. A total task assignment report provides counts of production tasks assigned or completed in a specified time span.
Users with permission to run these reports see the links in the Reports section of the Production Tasks Menu or in the ProduXion Manager Reports section of the main Reports page.
Submission Tasks Reminder Report
This report creates a list of submission production tasks that may be overdue, nearly due, or which have been in progress for a specified time. Users can use the list to generate reminder letters.
Schedule Group Tasks Reminder Report
This report creates a list of schedule group production tasks that may be overdue, nearly due, or which have been in progress for a specified time. Users can use the list to generate reminder letters.
To run Submission Task Reminder Report or Schedule Group Reminder Report:
- Click the name of the report in the Reports section of the Production Tasks Menu or in the ProduXion Manager Reports section of the main Reports page.
- Select production task: Use the drop-down list to a select task or all tasks option.
- Select schedule group: Use the drop-down list to select a schedule group or all schedule groups option.
- Assigned to: Check the box next to one or more roles.
- Select a time frame to define the report parameters. Use the radio button to select a time frame option and enter date or number of days as required.
- Optional: Limit the report to selected Article Types and Sections/Categories. Use the multi-selector tools to choose Article Types and Sections/Categories. This setting applies to submission tasks report only.
- When finished, click Submit.
Results:
Each row in the table displays information for a unique task assignment to an individual user for a particular manuscript number on a specific date. Reminder letters may be generated from the results list.
To send reminders:
- Check the box in the Send Reminder column for one or more task assignments.
- Click Send Reminders button.
- Choose a letter from the drop-down list.
- Optional: Customize the letter for individual recipients.
- Click Send Reminders button.
- Delivery options: Send immediately or set time to send later.
- Click Send Reminder Letters Now.
- Set day and time for later delivery.
- Use the calendar tool to select date.
- Enter hour, minute, AM/PM for delivery time.
- Click Submit.
Automated Submission Task Reminders Report
Like manual submission tasks reports, an Automated Submission Tasks Reminder Report can identify submission production tasks that may be overdue, nearly due, or which have been in progress for a specified time. Once defined, an automated report runs each night and automatically send reminder letters to task assignees based on specified criteria. Saved reports appear at the bottom of the Automated Submission Tasks Reminder Reports. Reports may be edited or deleted only by the user who created them.
Automated Schedule Group Tasks Reminder Report
Like the manual schedule group tasks report, the Automated Schedule Group Tasks Reminder Report can identify schedule group tasks that may be overdue, nearly due, or which have been in progress for a specified time. Once defined, an automated report runs each night and automatically send reminder letters to task assignees based on specified criteria. Saved reports appear at the bottom of the Automated Schedule Group Reminder Reports. Reports may be edited or deleted only by the user who created them.
To create an Automated Submission Task Reminder Report or Automated Schedule Group Reminder Report:
- Click the name of the report in the Reports section of the Production Tasks Menu or in the ProduXion Manager Reports section of the main Reports page.
- Reminder Type: Use the radio button to select the type of reminder.
- Outstanding Submission Production Tasks: Enter the number of days to trigger reminder.
- Reminder Before Selected Date Type: Enter the number of days to trigger reminder and select date type in step 3.
- Reminder Past Selected Date Type: Enter the number of days to trigger reminder and select date type in step 3.
- Date Type: Use the drop-down list to select a date associated with production or publication.
- Production Task: Select a task from the drop-down list. (Default is all tasks.)
- Schedule Group: Select a schedule group from the drop-down list. (Default is all schedule groups.)
- Reminder Name: Enter a name for this reminder report.
- Reminder Letter: Select a letter from the drop-down list.
- Assigned To: Use the multi-selector tool to choose one or more roles to include.
- Article Types: Use the multi-selector tool to choose one or more Article Types to include. This setting applies to submission tasks report only.
- Section/Category: Use the multi-selector tool to choose one or more Sections/Categories to include. This setting applies to submission tasks report only.
- Click Save as Automated Reminder.
Editor/Publisher Assignment Totals by Task Type Report
The production task assignment totals report provides a count of the submission production tasks assigned to users in a specified period, broken down by task type, to better assess their workload.
To run this report:
- Click the Editor/Publishers Assignment Totals by Task Type Report link.
- Select date range.
- Choose Fixed Date Range: Use the drop-down list to make a selection.
- Enter Customized Date Range: Use the calendar tools to select start and end dates.
- Select date type.
- Use assignment dates when searching: This option will return results based on Production Task Start date in the range defined in step 2.
- Use completion or cancellation dates when searching: This option will return results based on Production Task completion date or cancellation date in the range defined in step 2.
- Select roles: Use the multi-selector tool to choose one or more Editor roles and/or one or more Publisher roles to include. (The multi-selector lists include only roles with permission to receive production tasks.)
- Select Production Task Type: Use the multi-selector tool to choose one or more tasks to include.
- Select Article Type: Use the multi-selector tool to choose one or more Article Types to include.
- Select Section/Category: Use the multi-selector tool to choose one or more Sections/Categories to include.
- Create extraction file for download: When this box is checked, the system will create the extraction file. A Download Data File link appears on the report results page.
- Include cancelled tasks: Check this box to include cancelled tasks in report totals.
- Include inactivated users: Check this box to include inactivated users with the selected Editor and/or Publisher roles.
- When finished, click Submit.
Note: If no items are chosen using the multi-selector tools in steps 4 – 7, the report will return results for all items in the lists, i.e., selecting none is the same as selecting all.
Results:
The main body of the report results contains a series of summary tables. Each table summarizes the data associated with a single Submission Production Task Type (e.g., Copyediting, Composition.).
Each row within a task-type table lists the totals for a specific user and role associated with the task assignment. Results are grouped by role. Editor and Publisher roles appear in the same table. Names are shown as links to associated People Information pop-up window. Each column in the table represents an Article Type.
A Grand Totals table at the bottom of the page combines the data for all task types into one table. Each row contains results for an individual user. Each column contains results for an Article Type.
