Proxy Functions
At times publication staff and/or Editors may be required to perform tasks on behalf of another user. Users with authorized Editor roles may access another user's account and perform these tasks by proxy. A submission's History page records activity performed by proxy and the user who performed it.
Proxy access to a user account is available through the Search People feature and through the Details page of each submission record.
- On the Search People results page, the user record (the search result) displays a highlighted link for each Role the user is assigned in the system; for example: [Author] [Reviewer] [Editor]. The proxying Editor can choose the appropriate link to use for logging in by proxy to the user's account.
- On the Details page, a highlighted Proxy link appears next to people listed on the page. (An Editor who has Proxy Power permission, but does not have the Search People permission, can still proxy through the Details page.)
A bold yellow line appears below the main navigation area to indicate that a user is operating in proxy mode in another user's account.
To access a user account by proxy:
- Find the user via a submission's Details page OR via Search People.
- Click the applicable proxy link (next to the user name on Details page OR the appropriate role link on search results page). Once you log in as the user, a yellow band displays across the top of the page to indicate proxy mode.
- Perform the necessary action.
- Click the Exit Proxy link at the top right corner of the page. You are returned to your own account.
Limits on proxy functions
Editors may not be allowed to perform proxy activities in a new user account before the new user has viewed and acknowledged the site's privacy policies. When this restriction is in place, the Editor will not see the yellow-highlighted proxy link for the new user.
Editors editing a submission on an Author's behalf in proxy mode are not allowed to add or edit metadata for an existing repository item. Editors are limited to the URL/URI option for adding a repository item.
Increased security in proxy mode
Depending on publication configuration, Editors operating in proxy for another user may not have access to the following select administrative functions while in proxy mode:
- System Administrator Functions
- Search People Functions
- View/Change Username and Password
- Change Email Address
- Change Preferred Method of Contact
- Change Editor Role Designation
- Inactivate Users
- Merge Duplicate Users
- View People Activity Details
- View People Notes
- Edit People Notes
- View People URLs
- Edit People URLs
