Request Alternate Contact Information Updates

EM provides publications several ways to request that users provide alternate contact information and keep it updated in their user record. A direct link may be configured to display on the Author Main Menu, and a deep link is available for use in all letter types. Both deliver the user to the Alternate Contact Information page.

Users can indicate the dates the alternate information will be valid and provide an alternate phone number, fax number, postal mail, and email address. The page also enables the user to include notes regarding the information.

The mail merge field %UPDATE_ALT_CONTACT_INFO%, is available for use in all letters. When this merge field is included in a letter, it is converted to a URL that the user can click, or copy and paste into a browse to go directly to the page to update their alternate contact information.

The link can be set to expire after a set number of clicks and/or a default number of days. As a security measure, users can be required to enter their password before updating account information (including unavailable dates) when accessing their account via a deep link.

TO CONFIGURE:

To include a direct link to the Alternate Contact Information pop-up window from the Author Main Menu, go to RoleManager > Author Role. Grant permission:

To include instructional text to appear above the Alternate Contact Notes field, go to PolicyManager > General Policies > Edit Alternate Contact Notes Instructions. Enter text in the box and click Submit.

To set the deep link expiration policy, go to PolicyManager > General Policies > Set Update Information Deep Link Expiration.

  1. Check the box next to the option(s) to use for determining expiration. One or both options may be selected. To keep the link active indefinitely, do not check either box. If both boxes are checked (and numbers entered), the link expires when the first criterion is met.
    • Expires after X clicks
    • Expires after X days
  2. For each option selected above, enter the allowed number of clicks and/or days.
  3. For deep link security protection: In the bottom section of the page, check the box next to the setting, Require user to enter password to update account information.
  4. When all fields are complete, click Submit.

Note: When entered, alternate contact information is used when sending letters, but is not included when searching in Search People.
