Request ORCID Personal Identifiers

Publications can configure requests for ORCID personal identifiers both as part of the registration process and as part of the submission process.

ORCID identifier for registration

Enabling the ORCID Identifier feature allows users to register with a publication using metadata from their ORCID profile. Registration via ORCID can be set as optional or required. It may also be set as the default.

Once ORCID iD is enabled as a registration field, users have the option to register via ORCID through an option presented on the pre-registration page. If they do not have an ORCID identifier, they can sign up for one as part of the registration process. Users may also opt to retrieve their ORCID iD later via a Fetch/Register link on the main Registration page.

Fetch/Register and Fetch/Validate links

Request for an ORCID identifier can be presented as a registration field, either optional or required. Users are prompted (at registration or when updating an existing EM account) to retrieve and validate their ORCID information.

Clicking either link opens the ORCID Login/Register page in a new window. Once the user registers or logs in, a confirmation page requests permission to connect the user's ORCID record to the EM user record. When the user clicks the Authorize button to grant permission, the ORCID window closes, and the user returns to the EM page. The ORCID identifier number populates in the field, and a green ORCID icon appears next to the ID.

The user can deny the request for authorization, in which case the ORCID information is not passed to the EM system.

Once the ORCID field is confirmed, a Delete link displays next to it. A user can delete the validated ORCID identifier at any time, but a validated ORCID identifier cannot be edited.

ORCID authentication deep link

A deep link (%ORCID_AUTHENTICATE_DEEP_LINK%) can be added to any email generated by the system and sent to a specific EM user. This deep link behaves like the Fetch/Register link, delivering the user to the ORCID Login/Register page if there is no authenticated ORCID identifier in the EM system.

For users with an authenticated ORCID identifier, the merge code displays a confirmation message: "Your ORCID iD: [Value] is already linked and authenticated."

ORCID identifier requests at submission

Corresponding Authors may be requested or required to provide an authenticated ORCID identifier as part of the manuscript submission process. When this field is set as required, the Author is not allowed to complete the submission process without providing the authenticated ORCID iD. If the Author already has an authenticated ORCID iD in the system, the request is not displayed.

Co-authors may also be asked to retrieve an authenticated ORCID identifier as part of the Co-author verification process.

Editor permissions and limitations relating to ORCID identifiers

An authorized Editor accessing a user record via Search People can use the Fetch link to retrieve the user's ORCID identifier and delete ORCID identifiers (even if authenticated). Editors cannot edit an authenticated ORCID identifier (i.e., enter a different ORCID iD).

An Editor accessing a user record via proxy cannot authenticate the user's ORCID identifier or delete an authenticated ORCID identifier.

To configure:

Registration

To require ORCID identifiers at registration, go to PolicyManager > Registration and Login Policies > Edit Registration Fields. Settings on this page define registration fields as optional, required, or hidden.

  1. Check the box in the Required column next to ORCID.
  2. Check the box next to one or both of the sub-settings:
    • Require users to authenticate with ORCID (Users cannot type or paste a number into the ORCID field. They must use the link to retrieve their authenticated ORCID identifier.)
    • Ask users to register via ORCID by default. (The Pre-registration page displays a Use My ORCID Record button at the top with the alternate register without ORCID record option below.)
  3. When finished, click Submit.

Authentication deep link

To include the ORCID authentication deep link in letters, go to PolicyManager > Email and Letter Policies > Edit Letters.

The %ORCID_AUTHENTICATE_DEEP_LINK% merge field may be used in any letter sent to a specific user in any Role family.

Request or requirement at submission and for Co-author verification
