Respond to Editor Decisions

When an editorial decision has been made for a manuscript, it moves to the Author's Submissions with a Decision folder. There are four basic types of decisions (publications might have variants of decisions, e.g., Major Revision, Minor Revision): Accept, Revise, Reject and Transfer, and Reject.

Action links provide Authors the ability to respond to decisions. The folders and links for each type of editorial decision are described below.

Decision: Revise

Submissions with a Revise decision appear in the Author's Submissions Needing Revision folder. Use the Action links to respond:

An Author who clicks Decline to Revise (either intentionally or accidentally) can reverse the action by going to the Declined Revisions folder and clicking the Reinstate Submission link. This moves the submission back to the Submissions Needed Revision folder and notifies the editorial office that the Author has reinstated the submission.  

Decision: Reject and Transfer

Submissions with a Reject and Transfer decision appear in the Author's Submission Transfers Waiting for Author's Approval folder. For these submissions, the Editor has decided not to publish the manuscript, but has also suggested one or more publications that might accept the manuscript. Use the Action links to respond:

The decision notification email sent to the Author may contain clickable deep links to accept or to decline the transfer offer. Depending on publication configuration, the deep links may take the user to a landing page first to confirm that a human user has clicked the link (this feature shields the deep links from email security systems automatically clicking the link and accepting or declining without the recipient being aware).

When the Author uses the radio button to select the transfer destination and clicks Submit, the editorial office is notified, and submission files are sent to the chosen publication.

If the Author neither agrees nor declines the transfer offer within the time limit (defined by the publication), the final disposition of the submission is set to Reject, and the offer to transfer is no longer active. The expiration date should appear in the decision notification sent to the Author.

Decision: Reject

Submissions with a Reject decision appear in the Author's Submissions with a Decision folder in the Completed section of the Author Main Menu. Action links may allow the Author to view the submission and other information, but no further action may be taken on the submission within the system.

If an Author wishes to dispute a Reject decision, that Author may contact the Editor via email to initiate a rebuttal. The publication may be configured to allow an Author to send a system email; if this is the case, a Send Email link appears in the submission's Action column. If the link does not appear, the Author may email the Editor/editorial office outside the EM system.

If the Editor agrees to initiate the rebuttal process on behalf of the Author, the submission moves from the Author's Submissions with a Decision folder to the Submissions Needing Revision folder. An email notifies the Author when the decision has been reversed and the submission is available for revision. The Author may then access the submission in the Submissions Needing Revision folder and submit a new revision.
