Schedule Group File Inventory

Users with Editor and Publisher roles (with permission) may access a Schedule Group's file inventory via the File Inventory link in the Manage Schedule Groups folder. This File Inventory page lists all companion files that have been uploaded for the Schedule Group itself.

Companion files can be uploaded or selected from submissions in the group to be added to the file inventory of the Schedule Group. Various actions can be taken on the files from this page, depending on user permissions. Actions are similar to those performed via the file inventory for an individual submission.

Add files to inventory

To upload a companion file:

  1. Click the Upload Companion Files button.
  2. Select the file to upload:
    • Click the Browse button to choose a file from your local drive OR
    • Use the Drag & Drop feature to drag the file from your local drive.
  3. Provide information about the file as needed:
    1. Item: Use the drop-down menu to select an item type.
    2. Description: Use the text box to enter a description.
  4. Click Proceed (to return to the File Inventory page).

The file is added to list on the File Inventory page.

To add companion files from submissions assigned to the Schedule Group:

  1. Click the Select Companion Files from Submissions button. (This opens the Select Associated Companion Files page, which lists all companion files for all the submissions assigned to the group.)
  2. Select files to add: Check the box in the left column next to one or more items.
  3. Click Submit.

The files are added to list on the File Inventory page.

Download files

To download an individual file:

Click the Download link in the file's Action column.

To download multiple files as a zip file:

  1. Select the files to download: Check the box in the left column next to one or more items.
  2. Click the Download Selections as Zip File button.

Other file management

Action links for individual files enable additional file handling for users with permission.

A Color column may appear in the inventory. (Publications may define color coding for companion files to allow them to be easily identified and to make file handling more efficient.)
