Transfer Custom Submission Questions with Custom Metadata IDs

Custom questions and responses can be transferred from one EM publication to another. This information populates the Additional Information fields. Publications can transfer the information using text string matching (i.e., both the originating and target publication must have identically configured custom submission questions featuring the exact same text and data type).

Alternatively, if the publications have slightly different wording of a question but overall similar intent (such as a copyright transfer or disclaimer), custom metadata IDs can be used to match custom submission questions. If the custom metadata ID for the question on the receiving publication matches the Custom Metadata ID on the originating publication, the question and response are transferred even if the question text is not an exact match.

Note: Even if the custom metadata IDs match between the publications, the configuration of the question must be the same on both publications. Specifically, the Article Type must be the same and be configured to use the same type of Questionnaire (Submission or Author). Also, the Response Type (e.g., List Type using radio button responses) of the question must be the same on both publications and the selected responses must exist in the target publication.

TO CONFIGURE:

Publications that plan to share the Custom Submission Question information must configure the same custom metadata IDs to use for the custom questions. Each question (parent, child, grandchild, etc.) whose response is expected to transfer must have its own custom metadata ID. Both publications must take the following steps:

Go to PolicyManager > Questionnaire Policies > Create Custom Questions.

On the Create Custom Questions page, click the Edit link next to the applicable question (or click the Add Question button to create a new question. On the Add/Edit Custom Question page:

  1. Go to the Integration Options section and enter a Custom Metadata ID in the text box (if there currently isn't one associated) or use the Select Custom Metadata ID link to open a pop-up window and choose the ID.
  2. For multi-part questions: Set the initial (parent) question as described in steps 1 and 2. Then go to the follow-up (child) question's section of the page (if necessary, click the + to expand the section). Enter a Custom Metadata ID in the text box (if there currently isn't one associated) or use the Select Custom Metadata ID link to open a pop-up window and choose the ID. (Repeat as necessary for additional follow-up (grandchild) question.)
  3. When finished, click Save and Close.
