Configure People Notes and Detailed People Notes

The Search People – Update Information page can include two notes fields, in which Editors (with proper permissions) can record additional information about the individual. The fields function differently and serve different purposes.

People Notes

This editable text field can be used to record any information the publication would like to capture. All information is saved in a single note. This box is accessible from the Select Reviewer pages and from the People Information page (accessed by clicking a person's name link). The People Notes field is also available as a search criterion in Search People, Search for Reviewers, and Search for Authors. 

Note: The People Notes field cannot be used for a "wild card" search; a value must be entered for the search to execute properly.

TO CONFIGURE:

Go to RoleManager > Editor Role. Grant permissions to the applicable Editor roles:

These permissions also allow an Editor to use People Notes as a criterion in Search People and Search for Authors. An additional permission enables the criterion in Search Reviewers:

Detailed People Notes

Detailed People Notes are a more robust version of the People Notes field. This feature allows multiple notes to be added on a person's record. The individual notes are timestamped along with the name of the user who made the note and publication on which the note was entered.

These notes cannot be edited, but they can be removed. Editors with appropriate permissions can remove notes created by others (e.g., they may want to remove a note with incorrect information and replace it with a new note containing updated information.) Authorized Editors can also add Detailed People Notes to a record during proxy registration.

Detailed People Notes can be shared across publications in a journal group (IJRS group). A publication in a journal group may elect to share these Detailed People Notes with one or more publications in the group.

Detailed People Notes can also be used as a search criterion on Search People, Search for Authors, and Search for Reviewers (by Editors with appropriate permissions).

There are separate permissions for single publication use and for People-Sharing Group (IJRS) use.

For single publication use, go to RoleManager > Editor Role. Grant permissions to the applicable Editor roles: 

An additional permission enables the Editor to use the notes in Reviewer searches: 

For use in a People-Sharing (IJRS) group, go to AdminManager > Share People > Set Detailed People Notes Sharing Policy. Check the box to enable sharing notes with other publications and click Submit. This setting enables sharing notes to and from any publications in the group that have also checked this setting.
