Publications within the same publishing organization can create a People-Sharing Group to share People data. EM synchronizes user data across the publications in the group, allowing users to have a single login (username and password) for all the EM publications in the group.
The initial step to creating a resource-sharing group takes place outside of EM. Staff for each of the publications must be in contact to agree to the forming of an IJRS group and exchange publication codes, so that each can configure the resource-sharing settings in EM.
After all members of the group have configured the settings for sharing, user data are synchronized across the member sites.
The use of the IJRS feature does not merge all the publications people databases into one common database. EM sites continue to maintain publication-specific people data (e.g., people notes, areas of expertise Classifications, Role names, Role powers, Role designations). The Share User Data relationship requires sharing with all other publications in the group.
In addition, members of the journal group can share Reviewer data. For information on this feature, see Share Reviewer Data in a People-Sharing Group (IJRS).
Go to AdminManager > Share People > Define People Sharing Group.
(The first time the system administrator clicks the Define People Sharing Group link, an interim page displays, asking the administrator to indicate the primary character set used by the publication. This setting determines how the First and Last Name fields are synchronized for IJRS-connected publications, using language packs other than US English. The administrator will only see this page once.)
On the Define People Sharing Group page, in the Add journal field, enter the code for a journal to add to your group and click Submit. Repeat for all the publications to include in the group.
The list of entered publications appears above the text box; current status a publication is "unconfirmed" until the system administrator for that publications makes a reciprocal entry. (For example, at Journal A the system administrator enters the code for Journal B; the status for Journal B appears as "unconfirmed." Later, at Journal B the system administrator enters the code for Journal A; once this system administrator clicks Submit, Journal A appears on the journal group list with status "confirmed," because Journal A already made the corresponding entry. At this point the system administrator at Journal A will also see "confirmed" as the status for Journal B.)
Note: If a publication being linked or unlinked has more than a specific number of People records (currently defined as 50000) in its database, the operation will not be completed. Contact your Aries Account Coordinator to complete the operation.
