Customize Email Letter

Letter configuration may enable users to customize the letter body and to designate additional recipients. Letter pages across EM share the same general functionality. Options available on each page depend on configuration and may include the following:

  1. Select letter template. If more than one template is available, a drop-down list of templates may appear. Make a selection and click the Customize link (or Customize Letter button) to open the Customize Letter window.
  2. Click into the Letter Body text box and add/edit text as necessary. Tools may be available for formatting.
  3. Designate recipients:
    1. If the letter template does not have a pre-configured recipient, enter an address for the primary recipient.
    2. Copy options. If the letter template is configured to allow the sender to copy recipients, a cc text box appears. If configured to allow blind-copied recipients, a bcc text box appears. Enter email addresses in the appropriate field.
  4. Attachments. An Add/Change Attachments button may appear. Click to open a pop-up window.
    1. Attach files:
      • From your computer: Use the Choose Files button or the drag and drop feature.
      • From File Inventory: If you have permission to view the file inventory, you see the list of submission files and PDFs appears. Check the box next to the item to attach.
    2. After making file selections, click Proceed.
  5. When all fields are complete, click Preview and Send.
  6. Preview Letter window options:
    • Cancel: Returns you to the Customize Letter page.
    • Print: Print a copy of the letter.
    • Send Email: Send the email. (A record is saved in the submission's correspondence history.)

Note: Size limit for emails sent from within EM/PM (including attachments) is 30 MB.
