File Upload Options

The information below applies to Editorial Manager in general. Specific types of files allowed and file handling depend on publication configuration.

Publications may also configure a size limit on uploaded files. This limit applies to all files uploaded, whether they are built into the system PDF or accessed via a link in the PDF. (Please note: Editorial Manager sets an additional maximum file size of 500 MB per fil e.)

The Author uploads files on the Attach Files step of the submission interface.

Compressed files

"Compressed files" refers to any files created by a packing utility, such as PKZip or WinZip. A compressed file may consist of a single file or multiple files. The primary purpose of zipping or compressing files is to reduce the overall file size, thus facilitating faster transmittal. The following compressed file formats are supported:

Authors may attach compressed files to a submission. This allows upload of several files at once, rather than having to upload one file at a time. It also enables a faster upload of a large single file.

The publication may have Item Types configured to allow Authors to choose a type that unpacks the compressed file (enabling it to be built into the submission PDF) or one that leaves the file compressed (as companion files, not built into the submission PDF).

Upload a compressed file

To upload a compressed file:

  1. Choose an Item Type from the drop-down list. (The publication may have an Item Type called "Compressed File" or "Archive File (keep packed)" or something similar.)
  2. Enter a Description for the item.
  3. Use the Browse button to access your file list or use Drag & Drop to attach the compressed file.

The resulting behavior varies, depending on whether the compressed file contains a single file or multiple files, and on configuration of the selected Item Type.

ZIP file contains a single file and is unpacked

The single file is listed in the Attached Files list with the Item and Description designation made by the user before the file was uploaded. The user may change Item and/or Description designation and reorder (if there are other files already in the list).

ZIP file contains two or more files and is unpacked

Files are unpacked and each is listed individually in the Attached Files list. Files may be reordered. Select an Item Type and enter a Description for each file.

Two drop-down menus above the file list enable the user to assign an Item Type to all files of a certain format. Then the user may further adjust the Item Type manually for a specific file, if necessary.

  1. Use the first drop-down menu to select a file type. The menu contains an alphabetical list of the file extensions of all files successfully uploaded in the zip file(s). If any of the uploaded files have no extension, "Other" appears as a choice at the end of the list.
  2. Use the second drop-down menu to choose from all Item Types available.
  3. Click Change Now to apply the Item Type to all files of the selected file type.
  4. Use the Item drop-down list and Description field to make manual adjustments to individual files.
Item Type configured not to unpack compressed files

The compressed file is listed in the Attached Files list as a single file, with the Item and Description designation made by the user before the file was uploaded. The user may change Item (only Item Types configured not to unpack will appear in the drop-down list) and/or Description designation and reorder (if there are other files already in the list).

arXiv files (www.arXiv.org)

Depending on publication configuration, Authors may upload source files directly from the arXiv database. The compressed arXiv file (tar.gz format) is then unpacked and individual source files are included in the Attach Files list.

To upload a file from the arXiv server:

  1. Enter the file's arXiv identifier in the text box.
  2. Click Attach arXiv Files.

After the upload is complete, files are unpacked and each is listed individually in the Attached Files list. The user must select an Item Type and enter a Description for each file (using the drop-down list and text field next to each file name. Files may be reordered.

The publication may have configured Item Types that correspond to arXiv file components, such as Bibliography file (.bbl), Style file (.sty), etc.

Note: Upload from arXiv is not available when submitting a revision.

Add URL/URI/external resource

This option allows Authors to enter a URI/URL address for accessing larger data sets (such as institutional repositories) or other data (such as videos) accessible via the Internet.

To include an external resource as a submission item:

  1. Choose an Item Type from the drop-down list. (The publication may have an external resource Item Type, such as "Video" or "Dataset" or "External Resource.")
  2. Enter a Description for the item.
  3. Use the radio button to choose the delivery method: URL/URI/External Resource.
  4. Use the Browse button to access your file list or use Drag & Drop to attach the compressed file.
  5. Select the URL/URI protocol from the drop-down menu (http, https, ftp, sftp).
  6. Enter the resource location (the remainder of the web address).
  7. Click Preview to confirm the address is correct. (A publication may require that you preview the resource to confirm that the URL is valid.)
  8. Click Attach This Information.

The item is listed in the Attached Files list with the Item and Description designation made by the user before attaching the information. The user may change Item and/or Description designation and reorder (if there are other files already in the list).
