ISO Country Standards

The International Standards Organization maintains an official list of country names and two-letter codes referred to as ISO 3166-1. When there is a change to the list, the ISO documents the change in a newsletter.

All publications on the EM system use the ISO 3166-1 list of countries. Publications can select which ISO 3166-1 newsletter is used as the standard.

This list may be used in several places in the interface.

Production requirements

Most production systems to which EM transmits use the ISO 3166-1 standard.

If a Publisher decides to change its production system to accept a new ISO Country Standard, the publication site must select the new ISO standard in PolicyManager (see select below).

If a publication transmits metadata and files to a production system that requires ISO compliant countries, then the transmittal form must be set up to validate the Corresponding Author's Country of Origin data through a setting in PolicyManager (see validate below). This validation checks the Author's County of Origin data at the time of transmittal. The feature, Manuscript Region of Origin (described later in this article), is not affected by this check.

To Configure:

To select the ISO Country Standard, go to PolicyManager > General Policies > Set ISO Country Standard. The currently selected newsletter appears as the default setting in the drop-down menu. To select a different newsletter, highlight the new choice in the drop-down menu.

Newsletter versions can be viewed and downloaded using the links on the page.

Typically, the ISO country list is alphabetized except for the United States, which is coded at the top of the page. In the case of Region of Origin, custom entries appear at the top of the list followed by the standard ISO country list based on the configurations. To display the entire list alphabetically (including the United States), check the box next to Display Country List Alphabetically. When finished, click Submit.

To validate Country of Origin on the transmittal form, go to PolicyManager > Transmittal Policies > Set Validation Options. Confirm that the desired ISO standard is referenced. Check the box for validation of the Corresponding Author's country (at the time of transmittal), and click Submit.

Manuscript Geographic Region of Origin settings

Identifying a submission's geographic region of origin can be done in two ways:

Using the second option means that a manuscript can have a designated origin different from the Author's country. This is referred to as the "Manuscript Geographic Region of Origin."

A custom list configured by the publication appears as a drop-down menu during the submission step, Select Region of Origin. This list may contain geographic regions that are different from the standard country list. For example, regions of origin might be Eastern Europe, Western Europe, North America, etc. The region of origin could also be non-geographic, e.g., Multi-center.

TO CONFIGURE:

The Manuscript Region of Origin feature must be enabled for each Article Type. In addition, if using a custom list, that list must also be configured.

To automatically use the Author's country as the manuscript's region of origin:

Go to PolicyManager > Submission Policies > Edit Article Types. For each Article Type to configure, click the Edit link next to it. On the Edit Article Type page, go to the Article Type Parameters section and find the option, Set "Select Region of Origin" Preferences. Set both new and revised submission option to Hidden. When finished, click Submit.

To present a list from which the Author can choose the manuscript's region of origin:

Go to PolicyManager > Submission Items > Edit Manuscript Geographic Region of Origin. This page controls the list of countries/regions that appear in the drop-down menu during the submission process. There are three options:

Select the preferred option, and click Submit.

A custom list must be configured if using either the second or third option. To configure, click the Edit Custom Region List link (on the Edit Manuscript Geographic Region of Origin page). On the Edit Custom Region List page, enter the name of a region/country and click the Add button; repeat for each new entry. The list builds on this page, and it can be ordered alphabetically or custom ordered using the number boxes. (Entries can be edited or removed from the list by clicking the links next to them.)

Note: The ISO list will reflect the current, active ISO list as configured in PolicyManager (Set ISO Country Standard).

People records

For publications that do not transmit files and metadata to a production system, ISO Country normalization is not necessary. However, a publication may opt to update People records for report purposes, etc.

Publications that want to correct any People records that do not comply with the ISO standard can run a report that helps identify inconsistencies between People Data and the ISO Country list. For details, see Edit People Records to Reflect Correct ISO Country Names.
