Include Completed Reviews with Transferred Submissions

Publications have the option to include completed reviews as part of a submission transfer, allowing the reviews to travel with a submission as it moves from one EM site to another. Transfer includes review information from all versions of the submission.

While publications can enable this feature, the decision to allow reviews and Reviewer information to be transferred is up to each individual Reviewer.

Reviewer transfer authorization

The submitting Reviewer must agree to transfer the information and/or review. Default transfer authorization questions can be added to any Review Form for sites that are configured to transfer submissions. (Both the questions presented to the Reviewer and the instructions are editable—see To Configure section below.)

Receiving transferred reviews

The transferred information is available on the receiving publication from a View Transferred Information link available to Editors. The link is available in the following locations:

Separate, collapsible fields on the View Transferred Information page contain all transferred reviews for each version of the submission. Each version includes links to the transferred submission, Decision Letter, and Editor and Reviewer attachments.

If a Reviewer has agreed to transfer a review for a specific revision, the following information is included:

Note: Information for Reviewers who were terminated or unassigned is not transferred.

In addition, transferred review information may be merged into letters (including new Reviewer Invitations) on the receiving publication by using the %TRANSFERRED_REVIEWS% merge field.

TO CONFIGURE:

Configuration is for the sending site. The site must first be enabled to transfer submissions before these Reviewer authorization questions can be configured. For details, see Transfer Submissions Between Publications.

Go to PolicyManager > Reviewer and Editor Form Policies > Reviewer Recommendation Policies > Create/Edit Review Forms.

  1. Click the Edit link next to "Default Review Form."
  2. Two areas of the Edit Review Form page relate to Reviewer transfer authorization:
    • Authorization to Transfer Review: Check the box next to the question(s) to display on the Review Form. These questions are presented to the Reviewer with radio buttons to respond (Yes or No). To edit any question, click the Edit Questions link above the box.
    • Instructions for Transfer Authorization: These instructions appear when the Reviewer click the Instructions link on the Transfer Authorization section of the Review Form. To make any changes, click the Edit Instructions link above the box.
  3. When finished, click Submit.

To include the authorized reviews and review information in letters related to the transferred submission, use the merge field, %TRANSFERRED_REVIEWS%.
