Propose Reviewers

Editors may recommend, or propose, potential Reviewers for other Editors to invite or assign to a submission. Proposed Reviewers are listed on the Reviewer Selection Summary page and can be selected directly to use as Invited, Assigned, or Alternate Reviewers as needed.

When an Editor searches for Reviewers, the results list displays a Select As column with up to four selection checkboxes (depending on RoleManager permissions) next to each name. Editors with the permission, Propose Reviewers, see a Prop. (Proposed) checkbox. 

To propose a Reviewer:

  1. On the Reviewer Selection Summary page, choose a search tool and execute the search.
  2. When results display in the Reviewer Candidates grid, check the Prop. box for the Reviewer(s) to propose.
  3. Click Proceed.
  4. On the Select Reviewers – Confirm Selections page, use the text box to enter any notes to the submission's Editor.
  5. Click Confirm Selections and Proceed.

No letters are sent to Reviewers when they are proposed. Later, if they are invited, they receive a Reviewer invitation.

Proposed Reviewer flag  

A Proposed Reviewer flag is available to call attention to submissions for which Reviewers have been proposed. A Display Proposed Reviewer Flag setting appears on the header row of the Proposed Reviewers list and is automatically set when an Editor proposes a Reviewer. This setting causes a purple flag icon ( PropRev ) to appear next to the Action link, Invite Reviewers, for the related submission. The icon remains visible for as long as there is at least one proposed Reviewer in the list. An Editor may manually deselect the setting to turn off the flag.

Editors can search for submissions using the Proposed Reviewer Flag criterion, making it easier to find submissions with Proposed Reviewers.

Manage Proposed Reviewers  

The list of Proposed Reviewers appears on the Reviewer Selection Summary page. The page displays the name of the Reviewer, proposing Editor, date the Reviewer was Proposed, a View link that opens a pop-up window to show any notes entered during the proposal, and options to invite or list the Reviewer as an alternate as needed.

As Editors add new candidates to an existing Proposed Reviewers list, the new names are appended to the bottom of the list in the order they are proposed. Grip tools to the left of Reviewer names with drag-and-drop functionality let an Editor reorder the ranked list. Editors with permission may use the delete tool (trashcan icon) to remove a name from the list. When an Editor removes a proposed Reviewer, the rank order automatically updates to reflect the change.

To select a Proposed Reviewer for invitation or as an alternate:

  1. Check the box in the Invite or Alternate column for one or more Proposed Reviewers. (Editor role must have permission to select alternate Reviewers.)
  2. Click Select Proposed Reviewers.
  3. On the Select Reviewers – Confirm Selection and Customize Letters page:
    1. Use the drop-down menu to select a letter (if more than one is available).
    2. Optional: If reviews have been completed for the submission (previous or current revision), a Previously Submitted Reviews section appears. Check the box next to a Reviewer's name to include related review comments to the Author in the invitation letter. (Click the Reviewer's name to view the submitted comments.)
    3. Optional: Click the Customize link to edit the templated letter.
    4. The Due Date column displays the configured date by which the Reviewer must submit review. Use the calendar tool to adjust the due date, if appropriate. (Editor must have permission to override due date. For details, see Change Reviewer Due Dates.) This step does not apply when selecting Alternate Reviewers.
    5. Click Confirm Selections and Proceed to send letters. (Letters are not sent to Alternate Reviewers at this time.)

If an Editor has previously proposed one or more Reviewers, any Editor (with one of the permissions, Invite Reviewers, Assign Reviewers, or Select Alternate Reviewers) can select from those Proposed Reviewers immediately by checking the relevant box on the Reviewer Selection Summary page, and clicking the Select button. Editors with appropriate permission can also remove Proposed Reviewers from the list.
