Invite or Assign Reviewers
Editors and editorial staff with permission can search for and select Reviewers to invite to review a submission. Users may be also given permission to directly assign Reviewers.
When a submission is ready for the peer review process, click the submission's Invite Reviewers link to open the Reviewer Selection Summary page.
The Reviewer Selection Summary page is used to manage the Reviewer selection process. The page is divided into sections. Sections that appear and their contents may depend on publication configuration and role permissions.
Invite Reviewers Menu
This menu on the left side of the page displays review settings for the associated Article Type, links allowing the user to access submission information, and links to take other actions, such as sending email or submitting a decision, as well as setting reviewer-related preferences.
Review Settings configured for the submission's Article Type are shown:
- Number of reviews required
- Number of days before Reviewer (who does not respond to invitation) is automatically uninvited*
- Number of days past due date before Reviewer (who does not submit review) is automatically unassigned*
*If set to 0 (zero), the automatic feature is turned off.
Editors with permission may override settings.
To override configured settings:
- Click the Edit link next to Review Settings to open a pop-up overlay.
- Enter new values in the text boxes as needed.
- Click Save Settings.
Submission Information may be accessed via Manuscript Details and History links.
Quick Action Links displayed depend on user permissions.
Editors may Set Preferences for their Reviewer searches. For details, see Set My Reviewer Display Preferences.
Search Type
Search types are displayed at the top of the page. Available search types depend on publication configuration and user permissions. Core search types are:
- My Publication: Searches all people records in the publication database. This is the default search type. For details on using the search tool, see Search for Reviewers.
- Suggested by Author: Option appears when Author has suggested Reviewers during the submission process. See Suggested by Author.
- Personal Classifications: Classification searches allow Editors to search for Reviewers whose personal classifications match the submission's classifications or to select Classifications to search on. See Search by Classification Matches and Search by Personal Classifications.
- Suggest Reviewers: System suggests Reviewers based on an Editor's own criteria set on My Suggest Reviewer Preferences. See Suggest Reviewers.
Additional search types may include:
- Another Publication: Searches other publications in a People-Sharing Group (Inter-Journal Resource Sharing). User can select the publication and the core search type (Search for Reviewers from full publication database, Suggested by Author, or Search by Personal Classifications).
- External Reviewer Finder Service search via API: Name of the Reviewer Finder Service will appear. Selecting the search type launches the search.
To find and select Reviewers:
- Confirm review settings. (Edit if needed.)
- Select search type.
- Perform search. Search results pages display a Reviewer Candidates grid.
- Select As column in the grid displays one or more check boxes, depending on Editor role permissions: Inv. (invite), Asn. (assign). Check the applicable box next to each Reviewer you want to select. (Alternate and Proposed Reviewers are covered in other EM Help articles, linked below.)
- Click Proceed.
- If a selected candidate does not have a Reviewer role on the publication, the Assign Reviewer Role page displays. Use the drop-down menu to select Reviewer roles for candidates requiring them.
- Click Assign Reviewer Roles.
- On the Select Reviewers – Confirm Selection and Customize Letters page:
- Use the drop-down menu to select a letter (if more than one is available).
- Optional: If reviews have been completed for the submission (previous or current revision), a Previously Submitted Reviews section appears. Check the box next to a Reviewer's name to include related review comments to the Author in the invitation letter. (Click the Reviewer's name to view the submitted comments.)
- Optional: Click the Customize link to edit the templated letter.
- The Due Date column displays the configured date by which the Reviewer must submit review. Use the calendar tool to adjust the due date, if appropriate. (Editor must have permission to override due date. For details, see Change Reviewer Due Dates.)
- Click Confirm Selections and Proceed to send letters.
Note: A Do Not Invite checkbox allows the inviting Editor to exclude a Reviewer on the selected results list. This may be used if the Editor has reconsidered a choice and does not want to invite that Reviewer.
Review Status
This section of the Reviewer Selection Summary page displays types of Reviewers associated with the submission: Invited Reviewers (includes Assigned Reviewers), Alternate Reviewers, and Proposed Reviewers. These lists will be empty when the page is first accessed for a submission or if there are no Reviewers of a particular type.
Invited Reviewers
This list displays names and status of Reviewers invited or assigned to review the submission. Each name appears as a hyperlink that opens the Reviewer's People Information in a pop-up window.
Review status appears next to Reviewer name. Review status also appears in various Editor folders and on the submission's Details page. Color-coded dots enable quick identification of status:
- Green: Review complete
- Blue: Agreed to review (Reviewer accepted invitation or was assigned)
- Yellow: Reviewer invited and has not responded
- Red: Reviewer declined or was uninvited/unassigned
Depending on Reviewer's response status, one or more buttons may appear to uninvite/unassign or reinvite the Reviewer or to send a reminder.
To unassign or uninvite a Reviewer (permission based):
- Click the Unassign or Uninvite button to open a pop-up window.
- Click Send Default Letter OR click Send Custom Letter.
- If sending custom letter, edit the letter and click Submit.
To reinvite a Reviewer (permission based):
- Click the Reinvite button to open the Reinvite Reviewer page.
- The Select As column of the grid displays one or more check boxes, depending on your Editor role permissions: Inv. (invite), Asn. (assign). Check the applicable box next to the Reviewer that you are reinviting. (Selecting Alternate and Proposed Reviewers are covered in other articles, linked below.)
- Click Proceed to open the Confirm Selection and Customize Letter page.
- Use the drop-down menu to select a letter (if more than one is available).
- Optional: Click the Customize link to edit the text of the letter.
- The Due Date column displays the configured date by which the Reviewer must submit review. Use the calendar tool to adjust the due date, if appropriate. (Editor must have permission to override due date. For details, see Change Reviewer Due Dates.)
- Click Confirm and Proceed to send letter.
To send a reminder letter:
- Click the Send Reminder button to open a pop-up window.
- Use the drop-down menu to select a letter (if more than one is available).
- Click Send Default Letter OR click Send Custom Letter.
- If sending custom letter, edit the letter and click Submit.
