Publication Charges Processing

Some Open Access publications may require that Authors pay a publication charge to submit their work. Publication charges are typically made payable upon acceptance of the manuscript for publication.

Users with Editor and Publisher roles (with applicable permissions) may view the publication charge information.

View publication charges status

Payment status icons enable users to see the status of publication charges processing. A submission's payment status icon appears next to the Details link in multiple folders and next to the APC status text on the Details page (if configured to display), and on the Transmittal Form page (if configured to display). One of three icons may appear:

  1. In Process (an ellipsis in a yellow circle) 
  2. Complete – Successful (a check mark in a green circle) 
  3. Complete – Unsuccessful (an exclamation point in a red circle) 

These status icons are also displayed on Schedule Group Table of Contents next to the Production Details link for each submission in the group.

Users with Editor and Publisher roles may also be given permission to view the publication charges estimate. The permission also allows an Editor (with Proxy for Authors permission) to use the Action links View Publication Charges and Pay Publication Charges while operating in proxy mode for an Author who has submitted an APC article.

Resend payment request

After the initial payment request event has been triggered, a Resend Payment Request link may be available on the Details page (if configured to display). If a fatal error occurs when the payment request is sent, a user may click the link to re-retrigger the ActionManager event, Publication Charges Payment Requested.

Editors and Publishers (with permission) may also use the Resend Payment Request link to initiate a new Publication Charge Payment Due event, triggering all letters associated with the ActionManager event. This is helpful if the publication needs to request payment for other charges or if new metadata needs to be included in the payment request.

If the Publication Charge Payment Due event is re-triggered after the submission's payment status has been set to Complete – Successful or Complete – Unsuccessful, the payment status returns to In Process.

Note: Each time a new Publication Charge Payment Due Request event is triggered, the Publication Charges record for the submission is updated. A submission does not have multiple, separate open Payment Due records.
