Rich Text (HTML) in Letters

Editorial Manager and ProduXion Manager support both plain text letters and Rich Text (HTML) letters.

A Rich Text Editor toolbar is available in PolicyManager letter templates. The toolbar uses common icons to show formatting options. Each icon displays hover-over text that provides a short description of what the button does.

Graphics and images can be included in any letter in Rich Text (HTML) format.

Note: Rich Text letters with HTML tags and images will not display correctly to recipients using an email program that does not support Rich Text (HTML). For those recipients HTML tags may appear in the letters.

Senders may add HTML formatting

Senders may be allowed to add HTML formatting when sending a plain text letter template (a checkbox setting appears on the Add/Edit Letter page when adding/editing a plain text letter template). This is allowed by default on letter templates configured with rich text (HTML) format. A formatting toolbar is displayed to users.

To configure:

Go to PolicyManager > Email and Letter Policies > Edit Letters.

The main Edit Letters page includes a column called Letter Format. This column indicates the active format for the letter template: Text or Rich Text (HTML). By default, new letter templates are set to Text.

  1. On the Edit Letters page, use the radio button to choose Rich Text (HTML) as the format for the letter to be edited.
  2. Click the Edit link for the letter to be edited.
  3. On the Edit Letter page, the Rich Text Editor toolbar appears above the letter body text box. Format the letter following the directions below.
  4. When finished, click Save. This saves the formatting and sets Rich Text (HTML) as the active letter format.

Text formatting: Type or paste the letter text into the box. Highlight the text to be specially formatted and click the icon for the desired formatting (e.g., bold, italic, color choice, bulleted). Formatting can be undone by clicking the Remove Format icon ( ).

Adding images: Images must be uploaded to the EM system before they can be inserted in a letter template. For details, see Configure Image Files for Use in Letters and Custom Merge Fields.

  1. Position the cursor in the letter body where the image should be inserted.
  2. Click the Insert Image icon ( ) on the toolbar.
  3. In the pop-up window, use the drop-down menu to select an image.
  4. Click the Insert Image button.
