Web of Science Reviewer Recognition Service

Publications can integrate with the Web of Science Reviewer Recognition Service (WoS RRS), an independent web-based platform, that enables reviewers to gain visibility and recognition for reviews. Reviewers register and create a profile on Web of Science where their confirmed reviews are displayed.

During the review process, a custom question is used to inform Reviewers about the recognition service and to ask if they agree to send their review data to Web of Science. The publication can configure a report (using Enterprise Analytics Reporting) to transmit review data to Web of Science. These data are used by Web of Science to confirm the reviews.

An Editor with reporting permissions must schedule the report to send the data to Web of Science:

  1. Go to the Enterprise Analytics Reporting menu.
  2. In the Third Party Exports section, click the Schedule icon (calendar) next to Web of Science Reviewer Recognition Service Report. This opens the Reports Delivery Schedule page.
  3. On the Report Delivery Schedule page, complete the fields as follows:
    • Schedule Description: Web of Science RRS daily report send
    • Delivery Frequency: Daily
    • First Delivery Date: Enter the date you want to start the report. This should be the day after you set up the report
    • Number of Deliveries: 500
    • Delivery Method: Email
    • Letter: Report to Web of Science RRS
    • Attach Excel file of report to email: Check the box next to this option. (Do not check other options.)
  4. When finished, click Save Delivery Schedule and Customize Letter.
  5. On the Customize Letter page, click Preview and Save Email. (Do not customize the letter or make other changes.)
  6. On the Preview Letter page, click Save Email.
To configure:

The publication must contact the Clarivate Delivery Team to enable this integration. Clarivate will provide a token (unique identifier). This token is used to uniquely identify the publication in communications to WoS RRS.

Enterprise Analytics Reporting must be enabled on the publication site to generate and send the report to WoS RRS.

A custom question must be created and added to Review Forms. Go to PolicyManager > Reviewer and Editor Form Policies > Custom Review Questions for Editors and Reviewers > Create/Edit Custom Review Questions.

  1. On the Create/Edit Custom Review Questions for Reviewers and Editors page, click the Add button to create a new question.
  2. Enter the HTML-formatted text below into the Question text area. Note: Do not add to or change the text supplied below; this will cause reports to extract empty data.
  3. Optional: Enter additional instructions for Reviewer response.
  4. Response Type: Use the drop-down menu to select Yes/No.
  5. When finished, click Submit.

Copy and paste the following HTML-formatted text into the Question text box on the Add Custom Review Question page:

Note: If you opt to edit the question, be sure that the name Web of Science Reviewer Recognition Service and the link for information remain in the question text to ensure that the report will function. Editing the question is not recommended.

Once created, the question should be added to all review forms for both new and revised submissions. Go to PolicyManager > Reviewer and Editor Form Policies > Reviewer Recommendation Policies > Create/Edit Review Forms. Add the question to the review form and set to Required for Submission. Create a report letter template to send to WoS RRS. The letter body must include the token provided by Clarivate (available from your Web of Science partner dashboard or your Clarivate Delivery Manager) where indicated in red below.

Go to PolicyManager > Email and Letter Policies > Edit Letters. On the Edit Letters page, click the Add New Letter button. Complete the Add Letter page as follows:

Letter Purpose: Report to Web of Science RRS

Subject: %JOURNALFULLTITLE% export

Letter Family: Enterprise Analytics Reporting

Sender’s Email: Select the publication email.

Recipient: Check the box next to the option, Display the following email address for the recipient, and enter the following address into the textbox: review@em.webofscience.com

Allow attachments: Check this box.

Letter Body:

PUBLONS_TOKEN=unique token

PUBLONS_REMAINING_DELIVERIES=%NUMBER_OF_REMAINING_DELIVERIES%

Note: Use the wording of items for the letter body exactly as written: PUBLONS_TOKEN and PUBLONS_REMAINING_DELIVERIES.

Update templates for Reviewer invitations and thank-you emails to include information about WoS RRS. Use the examples below or edit as suitable.

The invitation should inform Reviewers about the publication's collaboration with WoS RRS and provide a link to the registration page on Web of Science: https://access.clarivate.com/register?app=wos

On Web of Science you can effortlessly track, verify, and showcase your review work and expertise without compromising anonymity. Sign up now for free so when you complete any reviews they can be instantly added to your profile.

Similarly, thank-you emails should remind Reviewers that they can get recognition for their reviews at Web of Science.
