Additional Manuscript Detail Field

Additional Manuscript Detail (AMD) fields are associated with submissions. These publication-defined fields appear on a pop-up window, accessed via the Add/Edit Additional Manuscript Details link on the Details page.

AMD fields may be configured to display (as read-only or editable fields) for use in multiple locations in the system, including:

  1. Custom Details page layouts
  2. Notify Author page
  3. Transmittal form
  4. Invited Submissions (to allow Editors to provide additional read-only information for Authors)
  5. As search criteria for Search Proposals and/or Search Submissions
TO CONFIGURE:

Configuration requires assigning permissions (enabling roles to view or view and edit fields) and creating the fields.

To assign permissions, go to RoleManager > Editor or Publisher Role. Grant permissions to the applicable roles:

  1. View Additional Manuscript Details
    1. Edit Additional Manuscript Details

Note: Even if the Edit Additional Manuscript Details permission is enabled, the user cannot modify the values unless the particular field is also configured as editable.

To create Additional Manuscript Detail fields, go to PolicyManager > Additional Data Policies > Add/Edit Additional Manuscript Detail Fields.

This page lists all configured Additional Manuscript Detail Fields. The order here is reflected in the drop-down list presented to users. To reorder the list, enter the preferred numbered order in the boxes in the Order column and click the Update Item Order button. Items may be edited or removed from the list by clicking the applicable link next to the name. To create a new field, click the Add button.

On the Add/Edit Additional Manuscript Detail Field page, complete the following:

Field Description: Enter a description (name) in the text box.

Field Type: Select from the drop-down list (Text, Date, Integer, Decimal, Notes, and List).

If selecting List as the type, click the link, View/Edit Values for Drop-down List, to open a pop-up window. In the pop-up:

  1. Enter the Value to appear in the drop-down list
  2. Enter a Description to appear alongside the Value (this is optional)
  3. Click Add Value to enter another item for the list.
  4. When finished, click Save and Close.

If selecting Date as the type, configure the Time options if applicable:

  1. Include Time entry: Check the box next to the setting to display fields enabling users to enter time along with date.
  2. Prevent entry of dates in the past: Check the box next to this setting to prevent users from entering elapsed dates.
  3. Set Date/Time format for display: Use the drop-down menu to select the desired date/time format.

Maximum Field Length: Enter a maximum length (number of characters), if desired. This applies to Text and Notes types.

Default Value for Field: Use the radio buttons to indicate a default value (None, Single Value). This applies to field types other than List. Setting the default value for a field to None displays an empty field. Setting a default single value (as entered in the text box on this page) pre-populates the field with this value. If the field is defined as editable, this value can be changed on the page where it appears.

Custom Metadata ID: A custom metadata ID may also be associated with the field; click the link to select from the defined IDs. For details on metadata IDs, see Define Custom Metadata IDs.

Article Type: Use the radio buttons to select an option for associating the Additional Manuscript Detail field with Article Types:

  1. Display field for all Article Types
  2. Display field for selected Article Types (If choosing this option, use the selector list to highlight the applicable Article Types)

Options: Check the applicable box(es) to specify how and where the field should display (Hide, Editable, Required). Use the text box to enter any Help Text (optional) to appear with it. Additional Manuscript Detail fields may be displayed on the following pages:

  1. Additional Manuscript Details (pop-up window accessed from the Details page): The field may be set to hidden (not displayed) or editable by checking the appropriate box. If neither box is checked, the field appears on the page, but it is not editable.
  2. Manuscript Details: The field can be made available to include on custom Details page layouts, if not set to hidden, and may also be editable. If neither box is checked, the field appears on the page, but it is not editable. For details on Details Page layouts, see Configure Details Page.
  3. Transmittal Form: The field may be hidden, editable, or required (i.e., the submission cannot be released to production unless the field contains a value). If no box is checked, the field appears, but it is not editable.
  4. Display for Invited Submissions: If not set to hidden, the field appears in the invited submissions interface for Editors to provide additional read-only information for Authors of invited submissions.
  5. Search Submission: If not set to hidden, the field will be available as a search criterion in the Search Submission interface.
  6. Search Proposal: If not set to hidden, the field is available as a search criterion in the Search Proposal interface.
  7. Schedule Group TOC: If not set to hidden, the field is available on the Table of Contents page. (This setting appears only if the publication is using ProduXion Manager.)
  8. Merge Fields: See Additional Manuscript Detail Merge Fields for Letters.
  9. Notify Author: The field may be hidden, editable, or required (i.e., the Notify Author letter cannot be sent unless the field contains a value). Display is configured by Decision Family; Choose the Decision Families in the multi-selector box.

Note: Configuring the field as editable allows users with the RoleManager permission, Edit Additional Manuscript Details, to change the field's value on the specified page. It is recommended that a field be configured as editable on either the Additional Manuscript Details page or the Custom Details page, but not both; this configuration may prevent data from being accidentally overwritten from one page onto the other.

AMD fields may also be associated with custom submission flags. This association allows Editors (with proper permission) to enable/disable flags in relationship to the AMD field. For details, see Configure Flags for Submission Records.
