Assign or Reassign Schedule Group Task

A Schedule Group is a collection of submissions that share a publication schedule. A Schedule Group can be used to manage the submissions assigned to a journal issue. A Schedule Group can also be used for books processing. If a publication site is configured for books processing, the site may be configured to display book-specific terminology (e.g., Schedule Group = Book). For books processing, labels of pages, buttons, headers, etc. may be different from the terms used below.

Users with Editor or Publisher roles may have permission to assign or reassign tasks that apply to a Schedule Group as a whole.

To assign a Schedule Group task:

Users with permission to assign Schedule Group tasks see an Assign Production Task link in the Schedule Group's Action column. The link appears in folders containing Schedule Groups on which the user can take action.

  1. Click the Assign Production Task link to open the Assign Production Task for Schedule Group page. (This page also displays the Task History for the Schedule Group.)
  2. Select the task to assign from the drop-down list. (If only one task is available for assignment, the task name appears in place of a drop-down list, and the user skips to step 4.)
  3. Click Proceed with Selected Task.
  4. Select the person to receive the task from the "Task Assigned to" drop-down list. (If the task is configured for assignment to a role held by only one user, e.g., Corresponding Author, the name appears in place of a drop-down list.)
  5. Enter a due date.
  6. Customize the letter to notify the task recipient.
  7. Add companion files. (This step depends on role permissions and may not be available.) In the Companion Files section:
    • Click Upload New Companion File to attach companion files that were previously uploaded to the Schedule Group.
    • Click Select Companion Files from Submissions to attach companion files from individual submissions that are part of the Schedule Group.
  8. Click Assign Task and Send Letter. (Depending on task configuration, you may have the option to proceed without a letter; click Assign Task without Sending Letter.)

To assign a follow-on Schedule Group task:

Depending on task configuration and your role permissions, you may have the option to assign a follow-on task immediately after submitting your task. (Clicking the Submit Production Task button will open the Assign Follow-on Task page.)

  1. Click Assign Follow-on Task button.
  2. Select the task from the drop-down list.
  3. Click Proceed with Selected Task.
  4. Follow steps 4-8 above.

To reassign a Schedule Group task:

Depending on task configuration and your role permissions, you may have the option to reassign a task. In the Schedule Groups Assigned to Me folder, a Reassign Task link will appear in the Action column.

  1. Click the Reassign Task link to open the Reassign Production Task for Schedule Group page.
  2. Select the person to receive the task from the "Task Assigned to" drop-down list. (If the task is configured for assignment to a role held by only one user, e.g., Corresponding Author, the name appears in place of a drop-down list.)
  3. Enter a due date.
  4. Customize the letter to notify the task recipient.
  5. Click Assign Task and Send Letter. (Depending on task configuration, you may have the option to proceed without a letter; click Assign without Sending Letter.)
