Configurations for Schedule Groups
A Schedule Group is a collection of submissions that share a publication schedule. A Schedule Group can be used to manage the submissions assigned to a journal issue. A Schedule Group can also be used for books processing. If a publication site is configured for books processing, the site may be configured to display book-specific terminology (e.g., Schedule Group = Book). For books processing, labels of pages, buttons, headers, etc. may be different from the terms used below.
Production tracking for Schedule Groups is used to manage tasks performed on a Schedule Group as a whole (i.e., not on individual submissions in the group) during the production process and to plan, monitor, or adjust the publication schedule.
Key Schedule Group behaviors
- Schedule Groups can be created by adding a new group or by copying an existing group. Depending on user permissions, copying may include metadata only or metadata plus table of contents and the related submissions.
- Publication information for submissions that are assigned to a Schedule Group reflects the information defined for the Schedule Group.
- Submissions can be assigned to more than one Schedule Group. One group must be designated as the controlling Schedule Group for the submission.
Controlling Schedule Group designation impact on submissions:
- When merge fields related to Schedule Groups are used in letters for submissions assigned to multiple groups, the merge fields will always pull information from the controlling group of the individual submission.
- Submission production tasks that include due date options related to the Schedule Group will calculate due dates, Must Start By dates, and slip figures using target publication dates from the controlling group.
- Submissions have their own Target Number of Pages value that can be set without being assigned to a Schedule Group. Once assigned, this value is kept in synch with the value in the controlling group's TOC value. Other schedule groups maintain their own, TOC-specific values for the submission.
- Some submissions (parents of commentaries) may have Target Publication Date, Volume and Issue values. While not expressed in ProduXionManager, these are also synchronized with values from the Controlling Schedule Group.
- Ending production on the controlling group will attempt to end production only on those submissions where the group is the Controlling Group.
Role permissions for Schedule Group management and task handling
RoleManager permissions control which Editor and Publisher roles can take actions related to Schedule Groups and Schedule Group tasks, including reporting on Schedule Groups.
Schedule Group production tasks
Schedule Group tasks can used to track any activity that is performed on a Schedule Group during the production process. Tasks are assigned (i.e., recipients are not invited to handle the task). Task configuration and role permissions govern which users may be assigned to a task and which users may assign a task. Schedule Group tasks must be assigned manually. The assignor may select files to send to the task recipient. Assignment files can be sent via SFTP out of and back into the system; the recipient is not required to log into the system to download or upload files.
All tasks must be completed or cancelled before a Schedule Group can be closed.

Schedule Group task reminder reports
Reminder reports provide users with information about the status of Schedule Group tasks. Reports can be used to send reminder letters to task assignees. Automated task reminder reports may be configured to run nightly and send letters automatically. For details, see Configure Production Task Reporting.
Additional Schedule Group Detail fields and flags
Publications can define Additional Schedule Group Detail fields and associated flags. ASGD fields are displayed on the Group Details page for Editor and Publisher roles with permission to view them. Roles may also be granted permission to turn flags on and off. For details, see Additional Schedule Group Detail Fields and Flags.
TO CONFIGURE:
To set core permissions, go to RoleManager > Editor Role or Publisher Role. Grant permissions to the applicable roles.
- View Schedule Group Production Task Assignment History: Allows role to view task information for the Schedule Group via the History page.
- View Schedule Group Production Correspondence History: Allows role to view correspondence for the Schedule Group via the History page.
- View Schedule Groups: Allows role to view Schedule Group Details page. (Schedule Group name appears as a link on Production Details pages for related submissions.)
- Manage Schedule Groups: Enables display of the Scheduling section on the Production Tasks Menu with links to manage, add, and close Schedule Groups.
- Assign Submissions to Multiple Schedule Groups: Allows the role to add a submission to a Schedule Group when the submission is already assigned to another Schedule Group.
- Copy Contents when Copying a Group: Allows the role to copy both the metadata and table of contents, including submissions, when copying a Schedule Group.
- Automatically Cancel Production Task Assignments when Closing Schedule Groups: Allows the role to close a Schedule Group without having to manually cancel any open tasks (the system will cancel them automatically).
- Assign Schedule Group Production Task: Makes the role available to be selected to assign task on Edit Schedule Group Production Task configuration page.
- Override Schedule Group Production Task Due Date: Allows the role to manually set the due date for tasks.
- Receive Production Task: Makes the role available to be selected to receive task assignment on Edit Schedule Group Production Task configuration page.
