Configure Submission Ingest

A submission imported into a publication's EM site via a publisher's Author Portal (AP) or a third-party Manuscript Service Provider (MSP) can be brought into the normal EM workflow. A sub-section, Ingested Submissions, on the Editor Main Menu (for Editors with permission to receive transferred submissions) enables Editors to track these submissions.

The Ingested Submissions section contains three folders:

New Ingested Submissions contains initial submissions (when they are first ingested to the EM site).
Ingested Submissions Returned to Publication contains updated submission (which have been re-ingested after an Editor used the Send Back to Author option, and the Author modified the submission outside of the EM system).
Revised Ingested Submissions contains revised submissions (which have been re-ingested after an Author received a Revise decision and revised the submission outside of the EM system).

If a folder is empty, it is not displayed.

Once approved, ingested submissions go into the normal editorial workflow. After a Revise decision, the Author may resubmit the manuscript via an AP/MSP, and then the submission is re-ingested to the Revised Ingested Submissions folder. (Submissions for which the Author has approved the PDF from within the EM interface are not displayed in these Ingested Submission folders.)

TO CONFIGURE:

Contact your Aries Account Coordinator to enable the EM Ingest Service.

Each Author Portal or MSP site must be configured with a valid API Endpoint URL.

To select MSPs, go to AdminManager > Configure Manuscript Service Providers for Ingest Service. Check the box at the top of the page to authorize MSPs to automatically submit manuscripts on behalf of authors.
This page lists the Manuscript Service Providers licensed by Aries Systems. All are automatically selected for authorization upon licensing. If your publication does not want to authorize a specific MSP, uncheck the box next to the name.
When finished, click Submit.

Go to RoleManager > Editor Role. Grant permissions to the applicable Editor roles:

Receive New Transferred Submissions in the "Transferred Submissions" Folder, and click Submit.

Publications can also identify email addresses if certain Editors/Editorial staff should be notified of ingested submissions in addition to the Editors in a submission's Editor chain. Go to AdminManager > Configure Cross-Publication Submission Transfer > Configure Email Addresses for Notification.

Enter the appropriate email address(es) in the fields:

Transferred submission received: The system sends notification to this email address when a submission appears in the New Ingested Submissions folder.
Submission returned to publication via ingest: The system sends notification to this email address when a submission appears in Ingested Submissions Returned to Publication folder.
Revision received via ingest: The system sends notification to this email address when a submission appears in Revised Ingested Submissions folder.
