Reviewer Use of Attachments
Reviewers may access attachments made available to them via a deep link included in an email letter or from within EM via the View Attachments link for the submission. The link is only available when there are attachments associated with a submission.
Two merge fields facilitate notifying Reviewers about available attachments:
- %ATTACH_FOR_REVIEWER_DEEP_LINK% inserts a hyperlink that performs a full login and delivers the recipient to the Reviewer's version of the Attachments page. Merge field will only populate if there are attachments available for the Reviewer. Use in conjunction with the merge field %ATTACH_FOR_REVIEWER_DEEP_LINK_INSTRUCTIONS%.
- %ATTACH_FOR_REVIEWER_DEEP_LINK_INSTRUCTIONS% inserts configured custom instructions. Merge field will only populate if there are attachments available for the Reviewer. Use in conjunction with the deep link %ATTACH_FOR_REVIEWER_DEEP_LINK%.
Reviewers may upload attachments
Reviewers may also be allowed to upload attachments as part of a review. These files remain separate from the submission's PDF and other submission files.
Reviewers with permission will see an Upload Reviewer Attachments button on the Submit Recommendation page.
The Reviewer can upload as many files as necessary and provide a description for each file. Each file is listed separately, and Reviewers can download or remove their own attachments prior to submitting their review.
- Reviewer attachments are available under several conditions:
- Reviewers always have access to the attachments that they themselves uploaded.
- Reviewers must have permission (View Other Reviewer's Comments to Author or View Other Reviewer's Comments to Editor) to access to an attachment uploaded by another Reviewer, AND the attachment must be marked (automatically or by an Editor) as allowed for Reviewer access.
- A Reviewer must have submitted a review before access to other Reviewers' attachments is allowed.
Editors may upload a revised version of a Reviewer attachment. The Editor can determine whether the new attachment should be available to all assigned Reviewers by selecting/checking the Allow Reviewer Access checkbox.
Publications may opt to have all attachments uploaded by Reviewers automatically set to Allow Author Access and/or Allow Reviewer Access. When this configuration is set, Editors may override the automatic setting so as not to allow access for Authors or Reviewers.
Two deep-link merge fields facilitate notifying the Editor that a Reviewer has uploaded attachments:
- %ATTACH_FOR_EDITOR_DEEP_LINK% inserts a hyperlink that performs a full login and delivers the recipient to the Attachments page. Merge field will only populate if a Reviewer has uploaded an attachment with a review and the recipient is an Editor in the chain for the submission with permission to download attachments. Letter is triggered by the ActionManager event Reviewer Assignment Completed. Use in conjunction with the merge field %ATTACH_FOR_EDITOR_DEEP_LINK_INSTRUCTIONS%.
- %ATTACH_FOR_EDITOR_DEEP_LINK_INSTRUCTIONS% inserts configured custom instructions. Merge field will populate under the same conditions as %ATTACH_FOR_EDITOR_DEEP_LINK%. Use in conjunction with the deep link %ATTACH_FOR_EDITOR_DEEP_LINK%.

To enable the Attachments feature, contact your Aries Account Coordinator.
To make attachments available to Reviewers, go to PolicyManager > ProduXion Manager > Configure Attachment Security.
Settings in the Availability section govern access by Author and Reviewer roles to attachments.
- Designate Editor-uploaded files as available by default to: Check the box for Reviewers.
- Designate Reviewer-uploaded files as available by default to: Check the box for Reviewers.
Check settings boxes as appropriate and click Submit.
Grant permissions to Reviewer roles if allowing Reviewers to upload attachments. Go to RoleManager > Reviewer Role. Grant permissions to the applicable Reviewer roles:
- Upload Attachments on Reviewer Recommendation page: Enables the Upload Reviewer Attachments button on the Submit Recommendation page.
- View Other Reviewer's Comments to Author: In addition to allowing the Reviewer to view comments, this permission enables the Reviewer to view attachments (that are configured as available to Reviewers) via the View Attachments link or deep link.
- View Other Reviewer's Comments to Editor: In addition to allowing the Reviewer to view comments, this permission enables the Reviewer to view attachments (that are configured as available to Reviewers) via the View Attachments link or deep link.
Attachment deep link merge fields for Reviewers may be included in any letter to Reviewers.
Attachment deep link merge fields for Editors may be used in a letter associated with the ActionManager event Reviewer Assignment Completed.

Set merge field deep link expiration terms and instructions. Go to PolicyManager > ProduXion Manager > Set Attachments Deep Link Policy.
- Check the box next to the option(s) to use for determining expiration. One or both options may be selected.
- Expire link after X clicks
- Expire link after X days
- For each option selected above, enter the allowed number of clicks and/or days. To keep the link active indefinitely, do not check either box. If both boxes are checked (and numbers entered), the link expires when the first criterion is met.
- Optional: Enter custom instructions that will populate the instructions merge fields for use with the deep link merge fields.
- When finished, click Submit.
