Setting the final disposition of a submission is primarily an administrative task. (It is not the same as making a decision on the submission.) Final disposition is typically set after a submission has finished the editorial process and has been accepted, rejected, withdrawn, or transferred.
In some cases, a final disposition can be set before a submission goes through the editorial process. Submissions may be withdrawn, transferred (between publications), or accepted on submission (for submissions that do not need a formal peer review before being released to production) prior to an initial Editor assignment.
Final disposition should not be set for submissions that have been returned to the Author for revision, unless the Author has declined to revise the submission.
An Editor (with permission) sees a Set Final Disposition link in the Action column. Clicking the link opens the Set Final Disposition page for the submission. The Editor may use the drop-down list to choose a final disposition term.
Setting an Accept or Reject final disposition may only be done following the corresponding decision of Accept or Reject (or Reject and Transfer) and the notification of the Author. After the user selects the Accept or Reject final disposition term and clicks the Proceed button on the Set Final Disposition page, the system checks the decision family for the submission to verify that the selected final disposition term and decision family match.
If the term does not match the decision family (e.g., the final disposition is Accept and the final decision is in the Reject family), the page displays a warning message that the two do not match. The user may choose to continue with the mismatched disposition or select a different final disposition.
Setting a Withdrawn final disposition may be done at any time, such as when an Editor decides that a submission should not be moved forward in the editorial process, when an Author requests withdrawal, or when an Author decides not to submit a revision (i.e., clicks the Decline to Revise link).
When a final disposition of Accept or Accepted on Submission is set on a submission, an email notification can be sent to the Publisher role that the submission is ready for production. The Editor or editorial office can customize all letters sent out at these events.
After final disposition is set, the submission moves to the Editor's My Submissions with a Final Disposition and the All Submissions with a Final Disposition folders.
Note: An Editor or publication staff with appropriate RoleManager permission can reverse a final disposition of Reject (via Rescind Decision) or Withdraw (via Initiate Rebuttal).
Go to RoleManager > Editor Role. Grant permissions to the applicable Editor roles:
Letters should be configured to be sent for the Final Disposition events (listed in the Editor Decision and Final Disposition section in ActionManager) to notify a Publisher role when final disposition is set. Letters may be also be configured for the Author role (recipient is Corresponding Author only). For details on letter configuration, see Create Letters.
Publications can opt to set final disposition automatically. For Accept and Reject decisions, this is configured by Article Type and triggered when the Author is notified of a decision. This option is available for Regular and Conference Submission Article Types.
Reject decision: Any publication can configure final disposition to set automatically to "Reject" when the Author is notified of a decision in the Reject Decision Family. When this setting is configured:
Accept decision: Publications using production tracking can configure final disposition to set automatically to "Accept" when the Author is notified of an Accept decision. When this setting is configured:
When an Article Type is configured to automatically set the final disposition to Accept, the Editor sees a message on the Notify Author Confirmation page: "The Final Disposition has been set to 'Accept' by the system."
A final disposition of Withdrawn may be set automatically for Revise decisions when the Author has declined to revise the submission, or the revision has been inactive with the Author for a defined period. A final disposition of Withdrawn may be set automatically for new submissions that have been sent back to the Author and have been inactive with the Author for a defined period. To set final disposition for Reject decisions, go to PolicyManager > Submission Policies > Edit Article Types. Select an Article Type (in Regular or Conference Submission family) to add or edit.

Note: Changes to configuration of an existing Article Type are not applied retroactively. New configurations will not affect submissions in process. They will apply only to submissions initiated after the configuration change.
To set final disposition for Accept decisions, Production Tracking functionality must be enabled, and the publication must not have an automated transmittal method specified. Contact your Aries Account Coordinator.
