Create and Assign Roles

Every user of the EM system receives an assignment to one or more role families: Author, Editor, Reviewer, and/or Publisher. All families, except Author, can have multiple roles defined within them, depending on each role's differing responsibilities. For example, members of the Editor family might include a Managing Editor, Editor-in-Chief, and Associate Editor. Reviewer roles might include Reviewers and Statistical Reviewers. Publisher roles are often assigned to third-party service providers who will have a more limited interaction with the system than users with Editor roles.

Defining roles

Multiple roles can be defined by each publication in Reviewer, Editor, and Publisher families to allow for various workflow models and structures. The majority of these roles are created when a new site is developed.

New roles can be created either by adding a new role or by copying an existing one. Each role within a family must have a unique name.

When a new role is added (not copied), the system administrator must enable every applicable permission, letter, etc.
When a role is copied, the configured settings are copied as well. (The copied settings can then be adjusted as required.)

A role can also be removed (click the Remove link) as long as the role is not currently assigned to any users.

TO CONFIGURE:

Go to RoleManager > Select the Role Family, and click Add or Copy. On the Edit Role Definition page, enter a name for the role and select (by checking boxes) the permissions for the role. When finished, click Submit.

Assigning roles to users

Reviewer, Editor, and Publisher roles must be assigned by an authorized Editor (i.e., one with Search People permissions). The Author role is automatically assigned to every user upon registration.

Note: A person may be assigned only one role in each role family. (For example, a user cannot be designated both an Editor-in-Chief and a Managing Editor role.

TO CONFIGURE:

Go to RoleManager > Editor Role. Grant permissions to the applicable Editor roles:

Search People: Allows an Editor to make the initial assignment of role(s) to a user.
1. Change Editor Role Designation to/from: This sub-permission allows an Editor to change a user's Editor role. Select the role(s) in the list window.
